Getting Started with Design
Please provide the following information and materials when you are ready for us to begin designing your project.
Supply all text in hardcopy and electronically as Word files. For newsletters, save each story as its own Word file.
Photos or Images
Preferred format is jpeg or tiff of 1200 KB or larger. Smaller image files will appear grainy in print even when used at thumbnail size. Indicate in your Word file the name of the corresponding photo to use and a caption.
An estimate of the final quantity is necessary even before we begin designing a piece because quantity will influence the approach.
Mailing List Estimates and Tracking Codes
For newsletters or invitations mailed to alumni, you will want to request an estimate of mailing addresses from the LAS Office of Advancement at this time. Contact Patti O’Bryan at email@example.com. If your piece includes a donation form, it will need a tracking code. You should also contact Patti O’Bryan for this code.
At the time you receive your design proof, we will need additional information so that we may obtain bids and otherwise prepare your projects for printing. There are steps you will need to take as well.
Our office will need the following information:
- Final quantity
- Delivery address
- Quantity to send to delivery address
- Quantity to send to Mailing Center (if applicable)
Mailing List Downloads and Job Forms
If you are printing a newsletter or invitation for alumni, this is the point at which to request that the download be sent to the U of I Mailing Center. Contact Patti O’Bryan at firstname.lastname@example.org about the download.
To get your project on the Mailing Center’s schedule, call Print and Mail at 333-6101. You will need to complete a job information form, available on the Office of Mail Services’ website.
“To Print” Stage
Once you have approved the final copy, we will inform you of the printing bid results. Please be prepared to provide the appropriate payment information.
- If U of I is the printer, we will need a CFOAPAL account number.
- For other printers, we will need the P-Card holder’s name and phone number.
The office does not store account information. Thus, we will request it from you for every project.
